Managing HRS Services

This article will walk you through the creation and management Services, a feature available to systems admins on our Housing Related Support product.

Permissions to setup and manage Services

In order to create and manage Services, you'll need the relevant permissions. A user with the appropriate permissions can grant you these following the below steps:

  1. Click Settings
  2. Click Users
  3. Edit the user requiring the permission
  4. Grant the "Manage HRS Services" permission
  5. Save changes



Creating a new Service

Once you have the correct permissions, you will be able to edit and create HRS Services.


If you'd like to create a new HRS Service, follow the below steps:

  1. Click Services
  2. Click the green plus to add a new service
  3. Fill in the fields within the pop-up box
  4. Click Add Service
  5. Enter the service's email address 


Note: Multiple Providers can be setup as providing a service.



You now have created your first new HRS Provider, well done! We now need to add Blocks or Units to the service so that the system knows what capacity your new service has and can inform you on voids/availability. The next section explains how.


Adding and Editing Service Capacity

In order for the system to know what availability each service has, we must add Capacity to the service. This is done using "Units" and/or "Blocks". 


If you'd like to add or edit the Capacity of a service, follow the below steps.

  1. Click Services
  2. Click the Service you'd like to amend the capacity of


Did you know: Some of your services might only have a single provider. Others may have multiple providers. Where there are multiple providers of a Service, they all show under the "Providers providing this service" panel on the service details page.


3. Click the Provider whose capacity you would like to amend

4.Click "Add Block" to add capacity with additional description or "Add Units" to add a set amount of capacity without further description e.g. 10 units


Did you know: If the service already has blocks or units setup, you can simply click "Edit Units" to amend the number of units, or click the Block name to edit the block.



Did you know: Capacity in HRS is split into Blocks and Units. Units are a simple number of available capacity at any given time, with no associated additional detail or differentiation. Blocks are also a way to add capacity to a service, but can also have additional description added such as "Wheelchair Accessible Rooms", unlike Units which have no description.


To add Service capacity, follow the steps outlined below.

  1. Click Services
  2. Click the Service you need to update the capacity for
  3. Under the "Providers Providing This Service" table, click the Provider whose capacity you'd like to update
  4. Click "Add Units" or "Add Blocks" dependent on what sort of capacity you're adding (see the note above for further explanation)
  5. If adding a Block, give the block a name and description then define the number of units in this block.
  6. If adding Units, just add the number.



Amending Service Capacity (Blocks and Units)

Services on the HRS system can have their maximum capacity easily amended as required. 


To amend Service capacity, follow the steps outlined below.

1. Click Services

2. Click the Service you need to update the capacity for

3. Under the "Providers Providing This Service" table, click the Provider whose capacity you'd like to update

4. To amend an existing Block, click on it. Then click Edit the number of units. Add the new number and press OK

5. To amend existing units, click Edit units. Add the new number and press OK 



Removing a Service from Use

On occasion you may have a requirement to remove a service from usage. This is particularly useful towards keeping the system's referral processes clean and tidy and making it clearer for regular users what options are available. 


To remove a service from usage, follow the steps below:

  1. Click Services
  2. Click the Service you'd like to deactivate
  3. Click the "Remove Service from Use" button and approve the pop-up


Did you know: Services which have been removed from active usage, can still be seen by clicking the "Show All Services" button on the Services Screen.


Deleting a Service

If you have no further need of a Service, they can be deleted outright from the system.


To delete a provider, follow the steps below:

  1. Click Services
  2. Click the Service you'd like to delete
  3. Click the "Delete This Service" button and approve the pop-up



Note: Deleting Services is permanent. Should you have a future need of a Service, we'd recommend removing them from use instead. You can then reactivate them if required.
