Managing HRS Providers

This article will walk you through the creation and management Providers, a feature available to systems admins on our Housing Related Support product.

Permissions to setup and manage Providers

In order to create and manage Providers, you'll need the relevant permissions. A user with the appropriate permissions can grant you these following the below steps:

  1. Click Settings
  2. Click Users
  3. Edit the user requiring the permission
  4. Grant the "Manage HRS Providers" permission
  5. Save changes


 

Creating a new Provider

Once you have the correct permissions, you will be able to edit and create HRS Providers.


If you'd like to create a new HRS Provider from scratch, follow the below steps to create your new Provider. 

  1. Click Providers
  2. Click the green plus to add a new provider
  3. Fill in the fields within the pop-up box
  4. Click Add Provider
  5. Enter the provider's email address and contact number



Note: Referral notifications are sent to the provider's email listed.



You now have created your first new HRS Provider, well done! 


Creating a new Provider User

Each Provider has its own users associated with it. Segregating users by providers means that Provider Users only see referrals assigned to them. 


If you'd like to create a new HRS Provider User from scratch, follow the below steps to create your new user. 

  1. Click Providers
  2. Click the Provider you'd like to add a user to
  3. Click Users
  4. Click New User
  5. Enter the required information then click save


Note: Provider Users login using their email address and password, rather than a username.



You now have created your first new HRS Provider User, well done!


Removing a Provider from Use

On occasion you may have a requirement to remove a provider from usage. This is particularly useful towards keeping the system's referral processes clean and tidy and making it clearer for regular users what options are available. 


To remove a provider from usage, follow the steps below:

  1. Click Providers
  2. Click the Provider you'd like to deactivate
  3. Click the "Remove Provider from Use" button and approve the pop-up



Did you know: Providers which have been removed from active usage, can still be seen by clicking the "Show All Providers" button on the Providers Screen.


Deleting a Provider

If you have no further need of a Provider, they can be deleted outright from the system.


To delete a provider, follow the steps below:

  1. Click Providers
  2. Click the Provider you'd like to deactivate
  3. Click the "Delete This Provider" button and approve the pop-up



Note: Deleting Providers is permanent. Should you have a future need of a provider, we'd recommend removing them from use instead. You can then reactivate them if required.
