This article will explain some of the features available from an applicant's page on the Lettings platform. Such as being able to log into the public website as the applicant, sharing an applicant's data with a partner if you are part of a multi partner scheme, and exporting/creating a record on HPA2 from Lettings.

Public Website Login
If an officer needs to see what an applicant can see when they are logged into the public website, follow the steps below:
- Under each tab on the applicant's page, you will see a globe icon, click this
- The public website should load and you are now able to navigate around as if you are the applicant
Note: Public site logins by staff via the login icon are recorded in the applicant audit history
Share Data with partners
If you have a multi partner system and a data silo in place, you can share an applicant's data with another partner for a defined amount of time. For guidance on how to do this, follow the steps below:
- Under each tab on the applicant's page, there is the icon to share this person's data with another partner, click this
- Select which partner you would like to share the applicant's data with
- Select how long the data will be accessible for
- Click "Share"
- A pop up message will appear to confirm that the data has been shared and the date it will be accessible until
Exporting records between modules
You can export clients between modules, including Lettings and HPA2. This functionality allows you to create a record on HPA2 from Lettings, and vice versa, it will copy over basic information and create a link between the modules. For guidance on how to create a HPA2 record from the Lettings module, follow the steps below:
- Under each tab on the applicant's page, there is an icon to export the person to another module, click this
- Select the module you would like to export the client to, in this case we are exporting to HPA2
- There is the ability to search for any existing HPA records to avoid duplication
- If an existing record isn't found, you can create a new record by clicking "Create new HPA application"
- It will take you to the new HPA record. If you would like to go back to the Lettings record, click the 'LET' icon in the bar, and similarly if you are viewing the Lettings record and want to see the HPA record, click the HPA2 icon in the bar
Note: You would need access and the correct permissions on both Lettings and HPA2 for this to work
Did you know: If want the applicant to fill out a self referral form to apply for HPA2, the records can be linked together afterwards
