This article will explain the several ways to bid on a property and how to view an applicant's bidding history.
TABLE OF CONTENTS
Bids on Shortlist
The bid summary on the clients application shows, at a glance, the bid that they have placed and the current status of the shortlists and the bids.
There are 8 columns in table which show the following -
Ref - This is the reference number of the shortlist
Address - The address of the property they have bid on
Shortlist status - The status of the property shortlist.
Bid Date - The date and time of the clients bid
Rank - What number they are appearing on the shortlist
Offered date - This is only populated if the client whose application you are currently viewing, has been offered the property
Bid status - This will be populated when the bid is either accepted, let, refused or rejected. This field will not be populated if the property is offered elsewhere on the shortlist. Examples below
Result reason - This is populated if the bid is rejected or refused and will show the reason why.
Here are some examples of what you may see, and what it means -
In this example, the bidding cycle has closed and I know this because the shortlist status is 'Ready to offer', the client is Rank '6' for the property but the property has not yet been offered either to the client or to anyone else.
In this example, the client was Rank 1 for the property however they were rejected by the shortlisting officer as the Adaptations are not suitable for this client. In the shortlist status I can see that the property has been offered so i know that it has since been offered to someone else on the shortlist.
In this example, the property has been offered but not to the client whose application i am viewing. I know this because there is no date in the 'offered date' column.
In this example the property has been offered to and accepted by the client whose application summary i am viewing.
In this example, the property was offered to the client and we can see the date that it was offered. However we can see that they refused this property as the bedrooms were too small and the shortlisting officer has marked the refusal as reasonable. We can also see that the status of the property is 'Property offered' therefore the property has since been offered to another applicant.
In this example, the property has been let to the client whose summary we are viewing and we can also see the date that it was let to them.
Bidding history
The bid history will display all the bids that have been placed for that applicant within your system. It includes information such as how the bids were made and their outcomes. To view the bid history, follow the steps below:
- Click on the "Bid History" icon under the "Summary" tab on the applicant's page.
- If you click on a previous bid, it will take you to the shortlist.
Staff Bidding
Staff can place bids on behalf of applicants who are not placing bids via the public website and those without/not utilising the auto bidding.
- Click on the "Place a bid" tab on the applicant's page.
- To view the property advert, click "Show Advert".
- If you would like to place a bid, click "Place Bid" then "Confirm".
- If you want to remove the bid, click "Remove Bid" and then "Confirm".
- There is also the option to view the shortlist.
- If you click the "Show ineligible" toggle, the system will display all the current available properties and why the applicant is not eligible for them.

Auto bidding
If your system includes Auto bidding, it will appear under the "People Tasks" on an applicant's page and it will be called "Auto Bid" or something similar depending on your configuration. For guidance on how to use auto bidding, please see this article.
