Setting Up New Users

This article will walk you through the creation of new users, a feature available to systems admins.

Permissions to setup and manage users

In order to create and manage users, you'll need the relevant permissions. A user with the appropriate permissions can grant you these following the below steps:

  1. Click Settings
  2. Click Users
  3. Edit the user requiring the permission
  4. Grant the "Make Changes to Users" permission
  5. Save changes



With the above steps completed, that user will now be able to create and edit users for any modules they have access to.


Creating a new User

Once you have the correct permissions, you will be able to edit and create new users.


If you'd like to create a new user from scratch, follow the below steps to create your new user. You can also clone an existing user by following the steps in this section of the article.

  1. Click Settings
  2. Click Users
  3. Click "New User"
  4. Fill in the fields within the pop-up box
  5. Click Save


Login:                          The user's username e.g. jbaker
Name:                           The user's actual name e.g. Jake Baker
Email:                          The user's email.
Job Title:                      The user's job title.
Telephone:                      The user's contact number.
User Account Verified by:       Who this user will be verified by periodically, for security.
Can Verify Other User Accounts: This determines if this user can verify other users. 
Opt Out of Notification Emails: Opts the user out of receiving notifications. Not recommended.
Default Module:                 Determines which modules the user is logged into by default.

Adding Roles and Permissions to Users

Once you've created the new User, it's time to configure some initial roles and permissions.


Note: Roles are an easy way to setup users with a set of pre-defined permissions, rather than granting permissions individually.
  1. Click Settings
  2. Click Users
  3. Click Edit on your user requiring roles and permissions
  4. Add the desired role to your user
  5. Click save



Did you know: If you open the dropdowns for each section of permissions, you'll see that just selecting a role has caused the user to "inherit" certain permissions from the role. If you removed the role, these permissions would also disappear.


Should you need to add individual permissions to users, you can also do this.

  1. Navigate to the relevant section of Permissions
  2. Ensure the permission box is checked
  3. Save



Did you know: Most permissions are sorted into sections based on modules. Some permissions give cross-module (system-wide) permissions and appear in the top section, simply labelled "Permissions"


Cloning User Roles and Permissions to Create New Users

As an alternative to creating users from scratch, you can use the cloning feature to copy the roles and permissions of an existing user when creating a new user. 

  1. Click settings
  2. Click Users
  3. Find the User which you would like to clone
  4. Click the "Copy User" button
  5. Enter the details for your new user


Login:                          The user's username e.g. jbaker
Name:                           The user's actual name e.g. Jake Baker
Email:                          The user's email.
Job Title:                      The user's job title.
Telephone:                      The user's contact number.
User Account Verified by:       Who this user will be verified by periodically, for security.
