Provider Details, Journal, Support List and Users

This guide explains how to manage provider details, journal, view support lists, and manage provider users and permissions within the Locata HRS module .

Providers Details

By clicking onto the providers name it will take you to the Providers Details page. Here is where you can manage the details such as contact details, the name and the description for the provider as well as add blocks and units and add/remove services that the provider gives. 

  1. Go to Providers.

  2. Click the provider’s name to open the Provider Details page.

  3. To edit contact details, click in the relevant tasks and update as required.

  4. To add blocks or units, click Add Block/Unit and complete the details.

  5. To add or remove services, use the Services section and select Add Service or Remove Service.

  6. Click Save to confirm changes.



Providers Journal 

The Providers Journal allows officers to add notes and attachments that are specific to the provider, this journal is separate to the clients journal. 


The features on the Providers Journal work in the same way that the clients journal works where you are able to add new entries, filter on entries, search journal entries and print individual entries or the whole journal. For more journal information, click here.


Note: You can mark things as important and have the option to show these entries to the provider or hide them from the providers view. 


  1. Go to Providers and select the relevant provider.

  2. Click the Journal tab.

  3. Select Add New Entry.

  4. Enter a title and details for the note.

  5. (Optional) Attach files using the Add Attachment button.

  6. Tick Mark as Important if the entry needs to be highlighted.

  7. Choose whether to make the entry visible to the provider or keep it hidden.

  8. Click Save.



Providers Support List

The Providers Support List gives overview of the clients that are currently receiving support. This screen is broken down into Application, Service, Block, Start Date, End Date and who the Case Officer is, all which can be filtered. 

 

Did you know: Clicking into the applications listed on the Support List will fast-track you to the clients details screen. 



Providers Users 

The Providers Users screen is where you can manage setting up users who work for that provider. This screen is also where you go to remove users that no longer work for the provider and therefore no longer need access.


Once the user has been created you can amend the user information, reset the password and view the users audit history.



There is also the ability to delete users which can be later viewed by selecting the "Show Removed Users" button. There is also the feature to reinstate a deleted user. 



Provider Users Permissions

A provider user’s HRS permissions can be customised at any time. Follow these steps to grant or revoke specific permissions for an individual user. 

  • Go to Providers.

  • Double-click the provider whose user permissions you wish to amend.

  • Select the Users tab.

  • Click the provider user you want to update.

  • Open the HRS Permissions dropdown.

  • Tick or untick the permissions required.



Note: If a permission appears with a white dash, it has been allocated by default based on the role assigned to that user.


Refer a Case to Another Provider

This feature allows service provider users to refer a client’s case to a different provider—provided they have the Can Refer to Other Providers permission.  

  1. Go to People in the main menu.

  2. Search for the client or locate them within the People tabs.

  3. Click the client’s name to open their file.

  4. Select the Case Support tab.

  5. Click the Refer this case to another service icon.

  6. Choose the provider you wish to refer the case to from the list.

  7. Click the blue Assign button.

  8. Use the back arrow to return to the client’s file.
