Default Upload Limit 

The default maximum file size for uploads in Locata is 4MB per file. This applies system-wide unless upgraded. 

1. Standard limit is 4MB per file across modules.
2. Larger files may need to be split or scanned more efficiently.
3. Consider other options if you regularly receive bulky documents.

Note: If applicants upload large bundles, officers may need to print and rescan them — this can slow down workflows considerably.

Upgrade Options for Larger File Sizes 

Locata offers annual subscription upgrades if your organisation regularly handles larger documents. 

1. Choose a plan that suits your needs:

   • 8MB per file – £600 + VAT annually

   • 10MB per file – £900 + VAT annually

   • 16MB per file – £1,200 + VAT annually

2. Please speak with your Account Manager to enable an upgrade.
3. The new limit will apply across all relevant modules upon activation.

Did you know? The 16MB option is best for teams that receive high volumes of large files, such as scanned ID or housing documentation.

PHP Template Solution for Document Uploads 

PHP templates offer a free or low-cost alternative by reducing upload sizes through focused submission requests. 

1. Create a “triage” upload PHP for specific documents (e.g., “Upload your tenancy agreement”).
2. Officers can issue this plan with specific upload prompts (e.g., “Please upload your photo ID”), which encourages applicants to submit only individual, relevant documents. This can help prevent the issue of receiving large, bundled documents.
3. Set this up internally or ask Locata to build it for you.

Note: If you need Locata to configure the template, a one-off consultancy fee of £850 + VAT applies.
