Creating Adverts

If your property is not in the system either because it hasn’t been advertised before or belongs to a partner who does not data load properties, the property needs to be created.

NOTE: If you are entering the property on behalf of another organisation, and you want to act as if you worked for that organisation, you need to change who you work for to that organisation. See the Welcome to Locata screen.

1. When you press on ‘create new property’. You will see the screen below.

Select the partner. You can either leave the Property Code blank or enter the code used from another housing management system that you may have. Set the status as void. Press OK.

2. This opens the property wizard and allows you to enter the details for the new property. Firstly, choose the Nominating Authority

Use the ‘next’ and ‘back’ arrows to move through the wizard. Remember to save the changes before you move to the next screen. You are at the end of the wizard when the ‘next’ button is greyed out and you can no longer press it. 

Use the advertise button to set your property to ‘Ready to Advertise’ once you have completed the advert. 

If you have the permission, you can Let Direct the property. Normally only managers have the permission to let direct (see a full explanation in Lets Direct section).

3. As you move through the property wizard and save the changes, the advert at the bottom of the page shown below will populate with icons and text.

Continue through all the pages (saving each page as you work through these), until your advert is ready to set to ‘Advertise’.

4. As you populate the fields on the property wizard, the Property Record Screens that sit behind the wizard are completed. For an explanation of the elements such as property code and landlord, see the next section on the Property Record Screens. To return to the Property Records Screen, click once on the address of the property at the top of the page.

 

5. Some elements such as the nominating authority, bedroom size and minimum and maximum number of bed spaces must be completed for your eligibility rules to operate.

6. If you need to cancel your advert the advertise button shown above changes to ‘cancel advert’ once the property is set to advertise. To cancel the advert, search for the property, open the wizard and click ‘cancel advert’.

Please NOTE: The elements included in the property wizard are configurable and will have been decided upon as part of the implementation of your scheme. The most commonly used elements are described in the Property Record Screen notes, below.

7) Once your advert is complete and you have pressed ‘ready to advertise’ the advert will move to the ‘all my properties ready to advertise’ list which can be accessed from the main properties page.
